HubSpot or Zoho CRM: Which CRM Platform Is Right for Your Business?
HubSpot or Zoho CRM? If marketing, sales and service are expected to work together to drive revenue, HubSpot is the stronger choice. If the sales team primarily needs a flexible tool, Zoho CRM is a good alternative. Both systems are mature. The right choice depends on who works with customer data in your organisation.

At a glance
- HubSpot provides a shared customer view across all departments, from the initial enquiry through to service.
- Both platforms can be adapted to your sales process. Zoho offers extensive customisation even in lower-priced editions, but requires more setup and maintenance. HubSpot stays closer to standard functionality and is therefore easier to manage.
- Zoho has lower licence costs. That advantage narrows when marketing and service also use the system and implementation and maintenance are included.
- HubSpot is easier to learn and more widely established in German-speaking markets. This speeds up implementation and reduces dependence on external consultants sooner.
- Both store European customers’ data in the EU; neither stores it in Switzerland by default.

What are the fundamental differences between HubSpot and Zoho CRM?
HubSpot brings marketing, sales and service together in a single database. Zoho is a family of products in which Zoho CRM handles sales and connects to other Zoho products for marketing, service and administration.
HubSpot consists of six modules, known as Hubs, covering marketing, sales, service, content, data and commerce. They all run on the same Smart CRM. Each contact, company, deal and ticket exists only once, regardless of which department accesses it.
Here is what that looks like in practice. A customer makes a complaint and the service manager creates a ticket. The key account manager sees it immediately on the open deal record before discussing a follow-up offer that afternoon. Marketing automatically removes the contact from the ongoing upselling campaign until the ticket is resolved. No one has had to build an integration.
Zoho is a software provider with more than 45 standalone products, much like Microsoft with its Office applications. Zoho CRM is one of them and covers the entire sales process, from leads and forecasts to quotations, orders and invoices. Marketing and service run in separate products such as Zoho Campaigns and Zoho Desk, each with its own database. Zoho connects them out of the box and synchronises their data.
This architecture offers considerable breadth. A company can start with the sales CRM and add products later, including accounting and HR. But once several departments work together, clear rules are needed about which data flows where and which product is the authoritative source for each piece of information. With HubSpot, that question does not arise because every department works in the same database.
→ An analogy. HubSpot is one building with several floors and shared building services. Zoho is a campus of buildings designed by the same architect, connected by paths, but each with its own building services.
Four questions that determine the right choice in practice
-
Who works with customer data?
-
How specialised is your sales process?
-
Do you need more than a CRM?
-
Who will maintain the system after implementation?
Who works with customer data?
If the system is used mainly by sales, either platform is suitable. If marketing, sales and service need to use the same customer data, HubSpot has the advantage: everyone works in the same database and every change is immediately visible to all.
How specialised is your sales process?
If it follows the usual path from enquiry to quotation to closing, HubSpot is quick to set up and easy to maintain. Both systems can also track additional entities such as machines, contracts or projects. Zoho offers this in its lowest-priced paid edition; HubSpot requires Professional.
Do you need more than a CRM?
If your ERP is already established, such as Abacus, bexio or SAP Business One, seamless integration is what matters, and both platforms offer open APIs. If you also want to introduce accounting or HR software from one provider, Zoho covers more areas.
Who will maintain the system after implementation?
If your own team needs to manage it with little effort, HubSpot is the safer choice because it is easier to learn. If you have someone with Zoho experience in-house or at an external partner, you can make good use of Zoho’s flexibility.
How do HubSpot and Zoho CRM compare in terms of features?
Both cover sales comprehensively and include AI. HubSpot offers broader capabilities for marketing, content, service and reporting through to revenue. Zoho CRM supports sales all the way to invoicing and can be extensively tailored to your business even in lower-priced editions.
| Area | HubSpot | Zoho CRM |
| Data foundation | One shared database across all departments. Marketing, sales and service work with the same customer data. | A separate Zoho product with its own database for each department. Customer data is transferred between products. |
| Marketing | Campaign planning, automation and lead scoring. In the new Marketing Studio, one AI agent plans the campaign, a second creates content and a third personalises automated emails for each recipient (public beta since autumn 2026). | Zoho Marketing Automation is a separate product with its own database. Zia AI writes copy for email, SMS, WhatsApp and social media. |
| Content and website | Website and blog in Content Hub; landing pages, newsletters and social posts in Marketing Hub, all using the same database. An AI agent drafts blog posts, social posts and landing pages; Content Remix turns one piece of content into several formats. | Separate products for social media (Zoho Social), newsletters (Zoho Campaigns), websites (Zoho Sites) and landing pages (Zoho LandingPage). Zia AI helps with writing, using included credits or a separate OpenAI account depending on the product. |
| Sales | One workspace for everyday sales activities, where calls, emails and appointments are automatically logged in the CRM. AI identifies buying signals, analyses customer conversations and creates quotes. | Supports sales through to quotations, orders and invoices, especially useful when invoices are not issued by an ERP. Zia AI predicts which deals will close and suggests next steps. |
| Service | Full customer service functionality with tickets, knowledge articles and a customer portal in the same system as marketing and sales. AI answers simple enquiries and suggests replies; a complaint is immediately visible to everyone and can pause active campaigns. | Full customer service functionality with tickets, knowledge articles and a customer portal in the separate Zoho Desk product. Zia AI answers common questions and suggests replies; open cases appear in the CRM through data synchronisation. |
| Reporting | Reports and dashboards across marketing, sales and service directly in the platform. For new customers, HubSpot shows which campaigns generate revenue from Professional upwards, without an additional analytics product. | Sales metrics and reports directly in the CRM. For complete campaign-to-revenue reporting across multiple Zoho products, Zoho Analytics is used; it is included in the highest CRM edition. |
| Integrations | Ready-made integrations with around 2,000 applications, from Outlook and Teams to accounting and ERP systems. Existing tools can usually be connected without coding. | More than 1,000 ready-made third-party integrations. Connections within the Zoho product family are already built in. |
How powerful are workflows and automation in HubSpot and Zoho CRM?
Zoho CRM is particularly effective at guiding employees through prescribed process steps. HubSpot makes it quicker to automate processes across marketing, sales and service, and can now build workflows from descriptions in everyday language.
HubSpot automates routine tasks such as assigning new enquiries to the right person, submitting quotations for approval or following up with customers after a purchase. What is new is how workflows are created. A sales manager describes the desired outcome in one sentence, HubSpot’s AI assistant suggests the steps, and the manager reviews and applies them. Since autumn 2026, AI agents can also be triggered by almost any event, such as a change in deal stage or an overdue invoice.
Zoho offers basic automation from its entry-level edition. Its strength lies in process guidance, available from the Professional edition under the name Blueprint. A machinery dealer specifies that a deal can only move to the “Quotation” stage once the budget, decision-maker and requested delivery date have been recorded. The sales representative sees the next required step and cannot skip it. This ensures that the entire team follows the same sales process.
What this means in practice
HubSpot can also require certain information before a deal advances to the next stage. Strict step-by-step guidance similar to Zoho’s can also be configured, but requires more setup. Conversely, HubSpot is faster when a workflow spans marketing, sales and service because all the data is already in one place.
How easily can business teams customise HubSpot and Zoho CRM themselves?
In both systems, business teams can create fields, lists and simple workflows without IT support. User reviews generally rate HubSpot as easier to use, while Zoho CRM offers greater customisation within each licence tier.
On G2, HubSpot Sales Hub scores 8.7 out of 10 for ease of use, compared with 8.2 for Zoho CRM. OMR Reviews paints a similar picture: users praise Zoho’s customisability while also mentioning its initial complexity for newcomers.
Zoho reduces this barrier to entry with AI. Teams describe in their own words what they want to record, and Zoho creates the appropriate structure. HubSpot administrators can likewise customise fields, deal stages and views without coding. Its interface remains consistent across departments, making onboarding easier for new employees.
For CIOs: How can the two systems be extended technically?
HubSpot extends its interface through App Cards and App Pages, React components that run within HubSpot and remain compatible with updates. Developer release 2026.09 introduces date-based API versioning, and HubSpot’s MCP server now also supports custom objects, campaigns and marketing emails.
Zoho CRM offers HTML and JavaScript widgets, Client Scripts for browser behaviour, server-side Deluge functions and its own MCP server through which external AI agents can access Zoho actions. Both platforms provide sandboxes in higher tiers: Zoho from Enterprise and HubSpot in Enterprise.
Special requirements call for coding. HubSpot uses widely adopted languages such as JavaScript and Python, familiar to Swiss IT departments. Zoho uses its own scripting language, Deluge, which works consistently across Zoho products but requires specialist knowledge. Consider who will still understand and maintain these extensions in three years.
Which CRM has better AI, HubSpot or Zoho?
In 2026, both offer AI agents and tools for building custom agents. HubSpot uses large language models from external providers and agents that work across the entire customer relationship using a single data source. Zoho uses its own deliberately small language model for simple tasks, supplemented by external models.
The Breeze AI assistant is included in every HubSpot tier, including the free version. HubSpot rebuilt it for the autumn 2026 release. It now accepts instructions, selects the appropriate agents and returns the results. Meanwhile, Smart CRM updates itself using calls, emails and meetings, giving agents access to up-to-date data.
For example, in sales, the Prospecting Agent monitors more than 40 buying signals, such as a change in leadership or repeated visits to the pricing page. It researches the company, drafts a personalised first outreach and books a meeting. All agents are managed centrally in Agent Hub, while custom agents are built in Agent Builder. Most agents require a Professional or Enterprise tier and are billed using credits; some are still in beta.
HubSpot uses language models from external providers for its AI. The necessary data is shared with those providers only for the specific task. It is not stored there permanently or used for training. We explain the contractual arrangements in a separate article on security and data protection for AI agents.
Within the CRM, Zia predicts which deals are likely to close and which customers might churn. This is predictive AI based on the company’s own sales data, a capability also available in HubSpot. Since July 2025, Zoho has also been developing its own language model, Zia LLM, which runs in Zoho data centres, including in Europe. It is deliberately small and designed for simple tasks such as summarising and extracting data.
Zoho also offers prebuilt agents, such as a Deal Analyzer that assesses opportunities and suggests next steps, as well as a builder for custom agents. For more demanding tasks, marketing copy and some agents, Zoho uses external models such as OpenAI’s. Companies should therefore check which data leaves Zoho for each feature. The full range of capabilities is available only from the Enterprise edition.
How do users rate HubSpot and Zoho CRM?
HubSpot scores slightly higher on G2 and Capterra, while Zoho CRM has more reviews on Capterra. Overall, both perform well.
| Pla tform | G2 (global) | Capterra (global) | OMR Reviews (DACH) |
| HubSpot | 4.4 / 5, approx. 13,500 reviews (Sales Hub) | 4.5 / 5, 4,453 reviews | 520 reviews, 490 of them four or five stars |
| Zoho CRM | 4.1 / 5, approx. 2,900 reviews | 4.3 / 5, 6,964 reviews | 74 reviews, 66 of them four or five stars |
In G2’s direct comparison, HubSpot leads on quality of support, scoring 8.6 versus 7.6. Reviewers praise Zoho for its value for money and customisability.
For Swiss decision-makers, OMR Reviews is particularly informative because its reviews come from German-speaking markets. HubSpot has around seven times as many reviews and was named a Leader for Q3 2026 in categories including Sales Platforms, Lead Scoring and Customer Engagement Platform. Zoho CRM receives good ratings from a smaller but satisfied user base.
Recurring themes in user feedback
-
For Zoho CRM, the most common criticism concerns the learning curve, the patience required for setup and integrations with third-party systems that sometimes take several attempts.
-
For HubSpot, criticism usually centres on pricing and features that are only available in higher tiers. Both can be planned for in advance, as the next section explains.
How well do HubSpot and Zoho CRM scale with your business?
Technically, both can easily grow with a Swiss SME. Both require a single edition across the company; HubSpot has applied this to new customers since October 2026. What becomes more expensive as the business grows differs: for HubSpot, it is licences and credit usage; for Zoho, licences and edition limits.
-
One feature tier for all employees: Starter, Professional or Enterprise.
-
Pricing is per person, with two seat prices. From Professional upwards, employees who use the relevant sales or customer service tools daily need the more expensive licence; everyone else uses the cheaper one.
-
There is also a monthly allowance called “credits”, similar to the data allowance in a mobile phone plan. Marketing emails, automation, AI agents and some other features are paid for using these credits; personal emails sent from an individual mailbox are not.
-
Unused credits expire at the end of the month. Once the allowance is exhausted, the affected features pause until additional credits are purchased.
This model has applied to new European customers since 1 October 2026.
-
One edition for all users. If five out of twenty people need Enterprise features, all twenty pay the Enterprise price.
-
Pricing is per person, with one price for each edition. Lower-cost team licences with restricted permissions are available for employees outside sales.
-
Instead of credits, fixed limits apply to each edition, such as 250 mass emails per day in Standard, 500 in Professional and 1,000 in Enterprise.
-
As additional departments come on board, companies can add Zoho products or license the entire workforce through Zoho One.
An example: a sales team grows from twelve to 25 people, and two regional managers now need Enterprise territory management. With Zoho, all 25 licences increase from €23 to €40, raising annual costs from around €6,900 to €12,000. This remains well below HubSpot’s list price, but it is a step change that can be anticipated.
→ Planning tip. For both platforms, choose the edition based on the most demanding role. With HubSpot, also estimate how many emails, automations and AI tasks you will need each month.
Where do HubSpot and Zoho CRM store Swiss companies’ data?
Both providers store European customers’ data in the EU. Neither offers data hosting in Switzerland by default.
With HubSpot, companies in Switzerland and other European countries are automatically assigned to the Frankfurt data centre when they sign up. No application or add-on is required. For AI features, the necessary data is shared with external model providers under contractual restrictions limiting its use to the specific task.
Zoho operates two European data centres, in Amsterdam and Dublin. The domain used to create the account is decisive: accounts on zoho.eu are hosted in Europe, while accounts on zoho.com are hosted in the US. Zoho selects the data centre during registration based on the country specified. Its own Zia LLM also runs in the European data centre. If an AI feature uses an external model, the relevant data is sent to that provider.
→ Practical tip. Before entering your first record, check that your Zoho account is on zoho.eu. Switching later means migrating the entire Zoho environment.
Zoho holds certifications for information security, privacy management and cloud privacy. Its business model does not rely on advertising, and customer data is not commercialised. HubSpot meets GDPR requirements and provides tools for consent, legal bases for each contact, and access and deletion requests. Meeting GDPR requirements will generally also cover the requirements of Switzerland’s revised Federal Act on Data Protection (revFADP).
The same principle applies to both: compliance depends on the actual configuration, the legal basis for each processing activity and a well-designed deletion policy.
How do HubSpot and Zoho CRM compare side by side?
| Criterion | HubSpot | Zoho CRM |
| Core model | One platform and one database for marketing, sales and service | Product family with more than 45 standalone products; CRM is the sales core |
| Greatest strength |
Alignment of marketing, sales and service; reporting through to revenue | Guided sales processes, customisability and breadth of product family |
| AI approach | Large external language models; AI agents work with customer data across marketing, sales and service | Own small language model on Zoho servers; external models including OpenAI for some advanced tasks |
| Ecosystem | Ready-made integrations with around 2,000 applications | More than 1,000 integrations; Zoho products already connected to one another |
| Data hosting | Frankfurt, automatically for European customers | Amsterdam and Dublin, for accounts on zoho.eu |
| DACH rating (OMR) | 520 reviews, 94% with four or five stars | 74 reviews, 89% with four or five stars |
| Typical challenge | Credit consumption for emails, automation and AI must be planned | Setup takes time and requires a responsible owner |
How should you decide between HubSpot and Zoho CRM?
Two practical examples:
-
Manufacturer in eastern Switzerland → Zoho CRM. Fifteen field sales employees need to manage visit reports, quotations and forecasts reliably. Marketing organises two trade fairs a year, while service is handled through the ERP. Zoho CRM fits because sales is essentially the only department using the system.
-
Software provider in Zurich → HubSpot. The company acquires customers through webinars and specialist articles, supports them with onboarding and customer service, and sells upgrades to existing customers. HubSpot’s shared database delivers value every day in this scenario.
Our article “Digitizing marketing, sales and service:” explains how to derive a target operating model for these functions from your corporate strategy before selecting a system.

Frequently asked questions about HubSpot and Zoho CRM
What is the difference between HubSpot and Zoho CRM?
HubSpot is a customer platform where marketing, sales and service use the same database. Zoho is a family of more than 45 standalone products. Zoho CRM handles sales, while marketing and service run in separate products such as Zoho Campaigns and Zoho Desk, whose data is synchronised with the CRM.
Is Zoho CRM cheaper than HubSpot?
Yes. Zoho CRM is significantly cheaper in terms of licences, costing €14 to €52 per user per month. New HubSpot customers in Europe pay from €60 per person for Professional, or from €120 for sales and customer service employees, with functionality across all departments included. Implementation, integrations and maintenance over three years must also be considered.
Is Zoho CRM a good alternative to HubSpot for Swiss SMEs?
Yes, especially for SMEs where sales is the main user of the CRM. Zoho CRM offers extensive functionality even in lower tiers, custom data objects such as machines or contracts in its entry-level edition, and EU data hosting. HubSpot is the stronger choice when marketing, sales and service need to work together on the same customer data.
Which CRM is easier to use, HubSpot or Zoho CRM?
HubSpot is generally considered easier to use than Zoho CRM. On G2, HubSpot Sales Hub scores 8.7 out of 10 for ease of use, compared with 8.2 for Zoho CRM. Zoho CRM allows more extensive customisation in lower tiers, which requires more initial training.
Is customer data protected when using HubSpot and Zoho AI?
Yes. HubSpot and Zoho protect customer data used by AI, but in different ways. Zoho operates its own Zia LLM in its own data centres, including in Europe, and uses external models such as OpenAI’s for some more advanced features. HubSpot uses external models under data processing agreements, transmits only the necessary data and does not allow it to be used for training.
Where do HubSpot and Zoho CRM store data, and can they comply with the revised Swiss FADP?
HubSpot stores European customers’ data in Frankfurt; Zoho uses Amsterdam and Dublin, provided the account was created on zoho.eu. Neither offers Swiss data hosting by default. Both can be operated in compliance with GDPR and the revised Swiss FADP. Compliance depends on configuration, legal bases and a deletion policy.
Are HubSpot and Zoho CRM available for free?
Yes, both offer a free version. Zoho CRM is free for up to three users, while HubSpot offers a free CRM with basic features for up to two users. Both are suitable for getting to know the platforms. The automation and reporting capabilities needed by a medium-sized company are available only in paid tiers.
Do you need programming skills to use Zoho CRM?
No. Programming skills are not needed for day-to-day use. Fields, workflows and sales processes can be configured in Zoho CRM without coding. Special requirements call for Zoho’s own scripting language, Deluge. This expertise should be available in-house or through an external partner.
Can HubSpot and Zoho CRM connect to a Swiss ERP such as Abacus or bexio?
Yes. Both can connect to Abacus, bexio and other ERP systems through ready-made integrations or open APIs. HubSpot offers integrations with around 2,000 applications, and Zoho with more than 1,000. Check early whether a ready-made integration exists for your ERP and decide which system is authoritative for each type of information.
How long does it take to implement HubSpot or Zoho CRM?
With HubSpot, implementing one department, such as sales, including data migration, integrations and training, typically takes three to six months. A sales-only CRM in Zoho can often be launched faster, but each additional Zoho product extends the project. The main factors determining the timeline are process definition and data quality.
Can you switch from Zoho CRM to HubSpot or vice versa?
Yes, migration is possible in both directions. Contacts, companies, deals and activities can be migrated. Automated workflows and custom code must be rebuilt in the new system. Switching makes sense if your current system is holding back a business objective. Define the use case first, then the data architecture, and finally the system.
